Default Advice for writing a letter to a Studio

There seems to be a poor understanding of how to write a letter.

Done the right way and your letter will get the attention it deserves.
Done the wrong way and you are viewed as just another ignorant complainer that never gets past screening, regardless of how well written your life story is. If you don’t follow the general rules of business writing, expect a simple for letter back.



Everyone should know the basics.

MOST IMPORTAINT: WHAT IS IN IT FOR THEM!? They are a company and are looking out for one thing. BOTTOM LINE. Let them know how it will help them.

1. Make it CLEAR what you want them to do. If you write the perfect letter and forget to make it clear what they should do, they are stuck.

2. Address it to a person. If that person does not read it, someone who has contact with them will.

3. NEVER write more than a half page. If your issue can not be addressed in a half page, you do not have an issue. This is not a 9th grade English class, quality over quantity.

4. Always ask for a reply after a set amount of time.

5. Do NOT say you "hope" or "wish" they would do something

6. Do NOT flatter them. Time is money, and they already know what their company does. You don’t need to tell them again. It is fluff and does not make them like you.

7. If you want them to do something give reason first, request second, how it will help them third, and close last.

8. If you want them to correct an error (ie billing), tell them what the problem is with dates etc. Tell them why it is a legitimate request. Give a date to respond.

9. Never give ultimatums or threaten what you can not do.

10. Speak for yourself unless you are backed by an organization or a hand signed petition.

11. Each paragraph should be only a few lines maximum.

12. Sign the letter by hand before you send it.
